Privacy at VoiceSage

We are a Software as a Service (SaaS) business which enables Omni-Channel Business to Customer automated communications.
Here at VoiceSage we collect data in two ways:
1- Through our website via cookies and when you fill out a form or enter information on our website. Personal data we may collect includes:
o Contact details, such as name, postal address, telephone number, company name, email address;
Non personal data we may collect includes:
o Browser and device data, such as IP address, device type, operating system and Internet browser type, screen resolution, operating system name and version, device
o Cookie and tracking technology data, such as time spent on the Services, pages visited, language preferences, and other anonymous traffic data; and
o Company data, such as a company’s legal structure, product and service offerings, jurisdiction, company records, and information submitted through the Voice forms.

2- We directly receive data from our Customers or Partners. Under these circumstances, there will already be an agreement in place between our businesses on how we must handle, process, retain and delete all data which we receive from them and we will never do anything with the data, which they have not instructed us to do. This is our main form of data collection. The types of data we receive from this method is fully at the discretion of our customer/ partner. At a minimum we receive the following data of their end customer:
o First name, surname, contact number
Depending on the use of our technology, our customer/ partner may wish to customise their communication to their end customer and in these circumstances we may receive the following data:
o Personal data – examples of this include Contact details, such as name, postal address, telephone number, email address.
o Highly sensitive data – while we make all efforts to advise against the processing of such data, as we are under obligation from our customers/ partners to perform data processing activities under their specific instructions, we may at some point receive such information.
o Credit card details – VoiceSage is Level 1 PCI DSS Certified. While we do not actually store any credit card details, such information may run through our systems.
The Payment Card Industry Data Security Standard (PCI DSS) is a set of security standards designed to ensure that ALL companies that accept, process, store or transmit credit card information maintain a secure environment.

VoiceSage incorporates best practise measures to ensure confidentiality of all information, both paper and electronic required for the operation of our business. We take necessary steps to protect data stored or transmitted against accidental or unlawful destruction, accidental loss or alteration, and unauthorised or unlawful storage, processing, access or disclosure.
VoiceSage is committed to and complies with all relevant Data Protection and Privacy legislation and/or regulations of the jurisdictions within which we operate. We will ensure that your personal data can be used only by authorised personnel for legally authorised purposes.

We will only use personal data in our possession for its intended, specific and authorised purpose. Your personal data may be transferred to contracted third parties, e.g. SMS gateway providers and other firms external to for the purposes of providing our services to you. We may also use the information we collect from you when you register, sign up for our newsletter, respond to a survey or marketing communication, surf the website, or use certain other site features in the following ways:
• To personalize your experience and to allow us to deliver the type of content and product offerings in which you are most interested.
• To improve our website in order to better serve you.
• To allow us to better service you in responding to your customer service requests.
• To send periodic emails regarding your order or other products and services.
• To follow up after correspondence (live chat, email or phone inquiries)

Your personal data will be retained and maintained in accordance with applicable Data Protection and Privacy laws and regulations.

Data Retention
VoiceSage must comply with a number of statutory and regulatory requirements and also at the instruction of our customers and partners in relation to the retention of data. Under the General Data Protection Regulation it is recommended at we only hold your data for the necessary amount of time – in this case it is no more than 18 months from the last interaction or communication. This may change under instruction from our customer/ partner. If we are holding your data under instruction from our customer/ partner, please contact them directly for information regarding their retention period. We do not sell or rent your personal information to any third parties for marketing purposes.
